How Your Hotel Accommodation Booking Service Works

You can contract directly with the Hotel Venue(s) or we can contract with them on your behalf.

  • We'll supply you with all the venue information you require, ie hotel choice, hotel room accommodation rates, upgrades, check in and check out times, leisure facilities, cancellation notice and penalties, distance from nearest airports, motorways and stations.

  • We'll create a secure booking system with SSL certification (secure sockets layer) on your behalf to handle credit card details on line.

  • We'll provide you with a PDF and an On-Line URL Link of the Hotel Accommodation Booking Service for you to upload to your website or use in your advertising literature. Your delegates will have the benefit of clear descriptions of the choice of Hotels, rates for single or twin room accommodation, plus all relevant terms and conditions.

  • Delegates will complete their applications on line (or fax back) to make their hotel accommodation request, which will be immediately acknowledged by Conference Planning. Each request will collate Guest Details, Payment Instructions, Hotel Stay Details and have its own Unique Reference Number.

  • Conference Planning will then liaise with the hotel(s), obtain unique hotel confirmation reference numbers for each accommodation booking.

  • Delegates will receive confirmations by email or fax, of their booking requests. These will include all the information they need, ie the Hotel they have been booked into, payment instructions, check in and check out dates and times, number of rooms booked, hotel rates and cancellation policy.

At all times delegates will have email, fax or phone communication access to Conference Planning experienced real personnel and receive speedy and professional service.
